This notice explains how Manchester EPC Specialist collects and uses your personal information when you book an Energy Performance Certificate (EPC), ask us a question, or use this website. We keep it short and in plain English.

Who we are

Manchester EPC Specialist is a Domestic Energy Assessor business based in Stretford, Manchester M32. We are the data controller for the personal information described here.

What we collect

• Booking requests: your name, phone number, email address, the property address and postcode, property details such as type and number of bedrooms, the reason you need an EPC, your preferred day and time, and any notes you add.
• Questions and enquiries: your name, contact details and message, and for landlords and agents, your company name, number of properties and the areas involved.
• WhatsApp, phone and email: anything you choose to send us through these channels.
• The visit itself: details about the property needed to produce the EPC, which may include photographs and notes about the building.
• Payments: card payments are handled by SumUp. We never see or store your full card details.

How we use it, and why we are allowed to

• To reply to you, arrange your appointment and carry out the assessment. We do this because you asked us to, and to deliver the service you have booked.
• To produce your EPC and lodge it on the national EPC register, as the law requires for every certificate.
• To keep business, tax and accreditation records, as the law and our accreditation scheme require, and because we have a legitimate interest in running our business properly.

We do not sell your information, and we do not send you marketing unless you have asked us to.

The national EPC register

When we lodge your EPC, the certificate, including the property address and its energy information, is added to the government's national EPC register. Anyone can search the register by address or postcode. This is a legal requirement for EPCs in England and Wales. In some cases the owner can ask for a certificate to be hidden from public searches; see the register on GOV.UK for details.

Who we share it with

• Our accreditation scheme, which lodges certificates on the register and audits assessors' work for quality.
• Service providers who help us run the business, such as our website host (Cloudflare), our form service (Web3Forms), our card payment provider (SumUp) and our email provider. They only use your information to provide their service to us.
• If you contact us on WhatsApp, your messages are also processed by WhatsApp under its own terms.
• If an estate or letting agent books on your behalf, we may share appointment details and the finished certificate with them.

Some of these providers may process information outside the UK. Where they do, they use legal safeguards such as UK-approved contract terms.

How long we keep it

If an enquiry does not lead to a booking, we delete it within 12 months. Booking and job records are kept for as long as our accreditation scheme and tax rules require, then deleted securely.

Your rights

You can ask us for a copy of your information, ask us to correct it, delete it or limit how we use it, object to how we use it, or ask for a copy to move elsewhere. Some rights have limits, for example where the law requires us to keep records. To make a request, contact us using the details above. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

This website does not use cookies for tracking or advertising. If we add website analytics in future, we will use a cookie-free service and update this notice.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it last changed.
